Teachbox provides tools for tutors and learners to schedule lessons, join video calls, share materials, communicate, and track learning progress. This policy explains how we handle personal data when you use Teachbox.

Information we process

We process account details such as your name, email address, profile photo, role, languages, and profile information. We also process lesson schedules, notes, homework, uploaded materials, chat messages, notifications, billing settings, and learning progress that you or another authorised lesson participant provides.

When transcription is enabled during a lesson, we process the captured transcript and relevant in-lesson chat to create AI lesson summaries, vocabulary lists, and practice suggestions. Tutors control when they generate or edit these records.

How we use information

We use this information to operate Teachbox, authenticate accounts, provide lessons and homework, deliver notifications, maintain security, improve reliability, and respond to support requests. We do not sell personal data.

Google Calendar sync

Google Calendar sync is optional. If you choose to connect it, Teachbox requests permission to create, update, and delete Teachbox lesson events on calendars you own. We use that permission only to keep lesson events in sync with Teachbox. We store the refresh token needed for background updates encrypted on our server. You can disconnect Google Calendar at any time; future synchronisation stops when you do.

Sharing and service providers

We share data only as necessary to provide the service: with the tutor and learner participating in a lesson, and with infrastructure providers used for hosting, storage, video calls, messaging, email delivery, AI processing, and optional Google Calendar sync. We require access controls appropriate to each service. Lesson materials are available only to authorised owners and lesson or homework participants.

Retention and deletion

We retain account and lesson information while your account is active or as needed to provide the service, resolve disputes, protect the platform, and comply with applicable obligations. You may request deletion of your account or personal data by contacting us. Some information may be retained where required for security, fraud prevention, or legal compliance.

Your choices and rights

You can update profile information, notification settings, and connected services in Teachbox. Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal data. To make a request, contact us using the address below.

We use technical and organisational measures designed to protect personal data. No online service can guarantee absolute security, so please use a strong password and keep your account credentials confidential.
